Hotel management software

Hotel management software for India. One system for the whole property.

Most Indian hotels do not run on one system. They run on a PMS at the desk, a separate channel manager, a POS in the restaurant that prints a slip somebody types into the folio, a register for housekeeping, a spreadsheet for banquets and Tally at the end of the month. Every handover between them is a place where a charge goes missing or a number stops agreeing with another.

Kōami Hotel360 puts all of it on one data model. The desk, the website and the channels sell from one inventory; every outlet posts to one guest folio; the night audit closes one business date; and the GM reads one set of numbers for every property in the group.

What is hotel management software?

Hotel management software is the system a hotel runs its operations on. At its centre is the property management system (PMS) — reservations, front office, room status, billing and the night audit — and around it sit the booking engine, channel manager, restaurant POS, housekeeping, revenue management, banquets and accounts. An integrated system keeps all of these on one guest record and one folio instead of connecting separate products by interface.

What the system has to do

Reservations & front office

Tape chart, groups and blocks, guided check-in with ID capture and Form C details, room moves, and arrival, departure and in-house boards.

Billing that is GST-correct

Room GST computed per night on each night’s price, invoices and credit notes numbered by financial year, split tenders including UPI, and a city ledger with ageing.

Direct bookings and distribution

A booking-engine website with online payment for each property, and a built-in channel manager with rate and availability push, an OTA inbox and a parity monitor.

Every outlet on one folio

Restaurant POS with a kitchen display, room service, spa, activities, minibar and laundry all post to the room — nothing is re-keyed from a slip.

Housekeeping and engineering

A live room board with auto-assignment by floor, inspections, and work orders that take a room out of order and return it when the job is done.

Night audit, revenue and accounts

A guided night audit, occupancy, ADR and RevPAR against last year and budget, and a day book generated from billing that exports to Tally.

Ten things to check before you sign

Every demo looks good at the front desk. These are the questions that separate a hotel system from a booking screen.

  • Does a restaurant bill post to the room folio directly, or through an interface that fails at 11 pm?
  • Is GST computed per night on the actual room price, so a stay that crosses a slab is invoiced correctly?
  • Can the night audit be run by the night manager without calling the vendor?
  • Do the desk, the website and the OTAs sell from one inventory, so the last room cannot be sold twice?
  • Are channel manager and booking engine included, or priced as separate subscriptions?
  • Can a foreign guest’s Form C details be captured at check-in rather than on paper?
  • Does housekeeping see check-outs the moment they happen, on a phone?
  • Will the accounts export to Tally in a format your accountant accepts?
  • Can you add a second property without a second contract and a second database to reconcile?
  • Who owns the data, and can you export all of it on the day you leave?
