What is biomedical equipment management software?
Biomedical equipment management software, often called a hospital CMMS, maintains an asset register of medical equipment, schedules and evidences preventive maintenance, manages breakdown work orders and technician dispatch, tracks calibration and AMC or CMC coverage, and reports downtime and vendor SLA performance. For an accredited hospital it is how the equipment management programme is demonstrated rather than described.

Preventive maintenance
PM schedules by asset class or manufacturer interval, with checklists per equipment type, automatic work order generation and escalation when a schedule slips.
Calibration and compliance records
Due dates, certificates held against the asset, and traceability — the records an assessor asks for on a named machine.
Work orders and dispatch
Faults logged from the ward with a photograph, routed by skill to the right technician or vendor, tracked to closure with parts and labour recorded.
SLA timers and escalation
Response and resolution measured against contracted commitments, with breach alerts and an escalation matrix, so contract renewal is a conversation with evidence behind it.
Offline-capable mobile app
Job details and history, photo and signature capture, parts consumption and offline sync, because basements and radiology suites do not have signal.
What to test in a CMMS demo
Use your own asset list, including the awkward items. The final request below is the accreditation question.
- Import your asset register and list everything out of warranty and not under contract.
- Generate this month’s PM schedule and show the checklist for an anaesthesia workstation.
- Log a breakdown from a ward, on a phone, with a photograph.
- Assign it to an external vendor and show the SLA clock running.
- Close it, record the spare used, and show the cost added to that asset’s history.
- Show total downtime for the CT this year.
- Show each vendor’s average response time against its contracted commitment.
- Produce the last four PM records and the current calibration certificate for a named ventilator.
