Banquet & event management

Banquet management software. From enquiry to BEO to final bill.

Banquets are where hotels make and lose the most money in a single evening. A ballroom double-held for two weddings, a BEO the kitchen printed before the menu changed, a cover count that moved after the advance was taken — each one costs more than a month of room-night leakage.

Kōami Hotel360 runs banquets and MICE in the same system as rooms and billing: a function diary with divisible venues and clash detection, an enquiry-to-contract pipeline, versioned BEOs, proposals with e-signature, and event folios that settle with a GST invoice.

What is banquet management software?

Banquet management software manages events held at a hotel or venue — weddings, conferences, parties and exhibitions. It keeps the function diary of venues and time slots, tracks enquiries to confirmed contracts, produces the banquet event order (BEO) that tells every department what to deliver, and bills the event with its advances and final settlement.

What the system has to do

Function diary

Divisible and combinable venues — a ballroom split into A, B and C — with clash detection that includes set-up and tear-down buffers, and holds that expire.

Enquiry to contract

A Kanban pipeline from enquiry to definite, proposals sent by email, contracts signed on screen, and payment milestones tracked against the event.

Versioned BEOs

Every BEO print highlights what changed since the last version, so the kitchen, AV and housekeeping teams work from the current plan.

Banquet menus & tariffs

Menus priced by guest-count slabs, venue rental by slot, and packages with included and optional parts.

Exhibitions & conferences

Booth hall plans with exhibitor folios, delegate registration, QR badges, sessions and badge check-in.

Event billing

Advances, charges posted to the event folio, settlement by UPI or card, and a GST invoice — in the same billing as the rooms.

What to check in a banquet system

Diaries are easy to demo. These are the parts that break on a Saturday in wedding season.

  • Does the diary block set-up and tear-down time, not just the event hours?
  • Can a divisible ballroom be sold as parts without double-booking the whole?
  • Does each BEO version show what changed since the last one?
  • Do advances and payment milestones sit on the event folio, not in a separate register?
  • Can the wedding party’s room block be held and billed alongside the event?
  • Can guest-count changes reprice the menu automatically?
  • Does the sales team see enquiries, follow-ups and conversion in one pipeline?
